The EA is accountable to their principal Senior Executive Service officer to contribute towards ongoing self-improvement and professional development.
Previous experience as an Executive Assistant in the APS is desirable.
Key activities
- Perform ‘front of office’ support functions, including greeting visitors and receiving, vetting and responding to phone calls, emails and general routine correspondence.
- Deliver executive support including managing the appointment diary and meeting arrangements of the Senior Executive Service officers
- Monitor the timely completion and release of time critical correspondence and routine reporting assigned to the Senior Executive Service officers
- Redirect tasks/correspondence to appropriate EL2 officers to initiate timely action and response
- Utilise information available to prepare briefing packs, reports and papers for meetings ranging from non-routine discussions to senior executive committees
- Actively liaise with departmental staff, stakeholders and visitors of all levels, building and maintaining good working relationships
- Work collaboratively within the broader ISD Executive Support team by providing administrative support including monitoring phones and completion of any allocated tasks
- Work collaboratively within the branch, division and across the department and provide a point of contact for assistance and general enquiries.
- Through proficient use of CONCUR and associated travel management applications, arrange, coordinate and reconcile all aspects of credit card purchases and expenses, and domestic and international travel in line with the department’s travel policy for Senior Executive Service officers
